CareTrax Overview: Encounters & Scheduling

Overview

What is this?
Why is it Important?
Encounters are system records of planned (and actual) visits to the office and include (1) Patient, (2) Date/Time, and (3) Encounter Type, such as "Initial Consultation". Using the Encounter record, the doctor (or assistant) can document notes and add critical information specific to that visit. Encounter records are always AUTO created via the Scheduling process. Scheduling is when the patient goes online and completes their registration, or when office personnel are scheduling on behalf of their patients using Calendly within the CareTrax system.Understanding how to properly schedule appointments (i.e. Encounters) and manage changes to the schedule is critical to keep patient flow smooth and the office operating efficiently.
